Operations Coordinator in Canada

The Operations Coordinator plays a vital role in supporting the behind-the-scenes operational functions that keep Cloud for Good running smoothly. This position supports the People, Finance, Operations, and Executive teams. The role will also require regular travel to the Cloud for Good Canada physical office to manage on-site administrative tasks as needed.  

The ideal candidate is detail-oriented, process-driven, and thrives in a fast-paced, collaborative environment. They are comfortable managing sensitive information, coordinating multiple priorities, and partnering across departments to drive operational excellence.

Location: Remote with regular on-site responsibilities in Toronto

Work Authorization: Citizens or Permanent Residents of Canada. Cannot provide Visa sponsorship. 

Key Responsibilities 

Payroll & Financial Operations  

  • Coordinate with the Financial Controller for funding, reporting, and audits. 
  • Assist with employee expense reimbursements, stipends, and variable compensation payments. 
  • Support vendor invoice processing.  
  • Assist in the preparation of financial reports, forecasts, and audit materials. 
  • Coordinate vendor invoices, payments, and issue resolution to ensure timely and accurate processing. 

 

People & HR Operations  

  • Assist with preparation for required state and provincial compliance reports, such as new hire reporting and other jurisdictional filings. 
  • Support PTO reporting and audit processes, ensuring accurate tracking, reconciliation, and adherence to annual compliance requirements. 
  • Support onboarding activities, including background checks and policy acknowledgements.  

 

Operations & Administrative Coordination 

  • Support local administrative tasks such as mail handling and document scanning by traveling to the Cloud for Good Canada office (Toronto) several times per week. 
  • Coordinate travel for Canadian staff, ensuring all necessary documentation is prepared for seamless travel. 
  • Prepare and support the development of presentations, reports, and dashboards for internal stakeholders.  
  • Support demand planning activities by maintaining accurate Salesforce data on billable client work, upcoming projects, and future resource needs. 

 

Technology Logistics 

  • Coordinate the receipt, distribution, and return of technology equipment, including managing pickup, recycling, or secure destruction of devices. 
  • Maintain and track technology inventory to ensure accurate records and availability. 
  • Partner with IT provider to prepare laptops for new hires and oversee shipping and logistics to ensure timely delivery. This is a hands-on logistics role focused on coordination and basic setup (e.g., powering on and verifying equipment), with no technical expertise required. 
  • Manage a stock of laptops and accessories for storage and redeployment to support new hire and replacement needs within the Canada office. 

 

Executive Assistant Support 

  • Manage and coordinate the CEO’s calendar, ensuring effective scheduling, prioritization, and preparation for meetings. 
  • Book and coordinate travel, including flights, accommodation, and itineraries, and manage related expense reporting. 
  • Handle confidential correspondence and maintain discretion in all executive matters. 
  • Coordinate cross-functional communications and logistics for leadership meetings and special projects. 
  • Coordinate room bookings and all related logistics for board meetings and other meetings led by the CEO. 
  • Support other executive leaders as needed. 

 

Qualifications 

  • 3+ years of experience in payroll, HR operations, or administrative coordination (preferably in a Canada or cross-border environment). 
  • Ability to work on-site in the Toronto office several times per week and perform light physical tasks such as carrying or moving office equipment (up to 20 lbs.). 
  • High attention to detail, with the ability to manage multiple priorities in a fast moving/ever changing environment. 
  • Proven ability to handle confidential information with discretion. 
  • Strong organizational, analytical, and communication skills. 
  • Experience supporting both HR, Operations and Finance teams is strongly preferred. 
  • Nice to have; knowledge of Canadian payroll processes, provincial labor laws, and CRA reporting requirements. 
  • Nice to have familiarity with HRIS and payroll systems (ADP, Salesforce).

  • Travel Requirements 
    • All roles at Cloud for Good include a travel component. Business travel—both domestic and international—may be required based on project and client needs. The amount of travel will vary by role but is generally expected to be up to 20% annually. Travel is considered an essential part of this position and supports effective client engagement, collaboration, and company representation. 
  • Work Environment 
    • Cloud for Good is a fully remote company. Team members are expected to maintain a professional, distraction-free workspace that is camera-ready for video meetings. Collaboration takes place across Zoom, Office 365, Salesforce, and Slack during standard business hours (9:00 a.m. – 5:00 p.m. in your local time zone). 
  • Client Time Zone Alignment 
    • As a team member, you may be required to adjust your work hours to align with your key client’s time zone to support effective communication, collaboration, and project delivery. Flexibility and coordination with your Project Lead (Services) will help ensure success in this client-facing role.
